What file formats can I import into QuickBooks?

One of the most common questions that we are asked every day is what file types can be imported into QuickBooks company files.

Transaction Pro Importer for QuickBooks Desktop works with QuickBooks Pro, Premier, and Enterprise. Below is a listing of the different file formats that can be imported with Transaction Pro Importer Desktop:

  • Excel 2003 – Present including Excel 365 (.xls, .xlsx, .xlsb, and .xlsm)
  • Comma-Separated Value files (.csv)
  • Text files that are comma, pipe, or tab delimited (.txt)
  • Quicken Files – banking data only (.qif)
  • Microsoft Money Files – banking data only (.ofx)
  • Access 2003 – Present including Access 365 (.mdb and .accdb)
  • ODBC compliant databases such as SQL

Transaction Pro Importer works with QuickBooks Online. Below is a list of the different file formats that can be imported with Transaction Pro Importer Online:

  • Excel 2003 – Present including Excel 365 (.xls, .xlsx, .xlsb, and .xlsm)
  • Comma-Separated Value files (.csv)
  • Text files that are comma, pipe and tab delimited (.txt)

In addition to questions about file types, below are some additional questions that we often receive:

Does my import file require a header row?

Many files have a descriptive title at the top of each column of data that is used when mapping your import file in Transaction Pro Importer. For the Online version, a header row is required for your import file. However, for the Desktop version, a header row is not required. You can tell Transaction Pro Importer Desktop if your import file has a header row by selecting or unselecting the checkbox next to FILE HAS FIELD NAMES IN FIRST ROW on the second window of Transaction Pro Importer Desktop (see image below).

Do I have to use a specific file layout in my import file?

There is no need to use any specific column order or column headers for your import file. Transaction Pro Importer will read your exact column headers, no matter the name or order, and those column headers will be available to select when mapping your import file.

However, if you do decide to use our sample import files, you will be able to use a shortcut when mapping your import file by selecting the FIELD MATCH button in the Desktop version (first pic below) and the AUTO-MATCH COLUMNS button in the Online version (second pic below).

You can download a sample copy of the DESKTOP import file and the ONLINE import file from our Knowledge Base.

How do I import multi-lined transactions?

In your import file, you will repeat the same Reference Number on each detail line that belongs together on the same transaction. Be sure that you sort your import file by the Reference Number column prior to importing.

You can read more about importing multi-lined transactions in our Knowledge Base for both the Desktop and Online versions of Transaction Pro Importer.
